Assigning Raffle Numbers

An "Entry Number" is automatically assigned and logged in the database for each qualifying purchase.

Draw Procedure

The certified master list of entries is provided to an FDA representative for inspection before the draw begins. The draw is conducted using a traditional tambolo or raffle drum to ensure impartiality. The entire draw process is recorded, with the FDA representative actively supervising.

One (1) Grand Prize winner and two (2) contingency winners are drawn. The contingency winners' names are recorded but not publicly announced.

Documentation

A "Minutes of the Draw" document listing the winners is prepared and signed on-site by official Recherche representatives and the FDA representative.

Transferability and Convertibility

All prizes are non-transferable and not convertible to cash.

Period of Redemption

Winners must claim their prizes within sixty (60) days from receipt of the registered notification. Failure to claim within this period will result in forfeiture, pending FDA approval.

Before any submission to the FDA, a mandatory internal review of all proposed promotional materials (including social media posts, print ads, labels, and scripts) and the complete promotion mechanics must be conducted.

This review will verify that all product claims are truthful, not misleading, and are fully supported by the product's approved Certificate of Product Registration (CPR). All materials must align with FDA advertising guidelines.

Control: Application Filing and Monitoring

The Regulatory Affairs Department will prepare and file the complete application package with the Food and Drug Administration.

The package must include the finalized mechanics, final artwork for all materials, a valid copy of the product's CPR, and proof of payment for all required fees.

The department will be responsible for monitoring the application's status and responding to any additional information requests from the FDA.

Control: Post-Approval Compliance

Upon receiving the permit, the approved FDA Sales Promotion Permit number must be incorporated into all final promotional and advertising materials before their public release or broadcast (e.g., "Per FDA-CCRR Permit No. XXXX s. 2025").

The permit number must be displayed legibly using the required format. A final compliance check will be conducted by the Marketing Head to ensure consistency across all platforms.

Procedure in the Manufacture of Winning Entries

Entries are generated automatically by the system.

One raffle entry is assigned upon a successful Starter Kit purchase or any online purchase of a Recherche full set priced at ₱4,500 through the customer's portal.

Each entry is securely logged in a dedicated database with the customer's full name, ID, contact details, address, and the qualifying transaction number.

Seeding Procedure

This is not a pre-selected winner promotion.

The "seeding" process involves ensuring that all valid entries are included in the final draw pool.

The IT and Finance teams perform a weekly audit to reconcile online transactions with the raffle entry database, ensuring that no valid entries are missed.

Procedure in the Pre-Validation of Entries

A secure database of all company employees and their relatives up to the second degree of consanguinity or affinity is maintained.

The system performs a regular weekly cross-check of the raffle entry database against this disqualification list.

Any matching entries found are flagged and voided. A final audit to remove all disqualified entries is performed on the master list just before the draw.
